Pharmacy Stock Controller – MSM & TG
The Institute of Health Programs and Systems (IHPS) is a South African non-profit company (NPC) born out of the PEPFAR CDC Track 1 transition of the ICAP, Columbia University, Multi-country AIDS Program (MCAP) in South Africa in 2010. The IHPS mission is “to strengthen health and development systems through program implementation and partnerships”, with a vision to achieve “optimal and sustainable health and development outcomes”. Currently, IHPS is a Global Fund (GF) Subrecipient (SR) under the Aurum Institute, tasked to implement the “Comprehensive HIV Prevention Programmes for Men who have Sex with Men (MSM) and Transgender People (TG) and their sexual partners across all five districts in Limpopo Province viz. Capricorn, Mopani, Sekhukhune, Vhembe and Waterberg from 01 December 2025 to 31 March 2028. As such, IHPS seeks to recruit the positions outlined below, based in Mopani, Sekhukhune, Vhembe, and Waterberg Districts, Limpopo Province.

Overall Responsibility
The Pharmacy Stock Controller is responsible for the effective management, control, and accountability of medicines and pharmaceutical consumables supporting the MSM and TG programme at Drop-in Centres. The role ensures the continuous availability, safe storage, accurate distribution, and compliant use of health products in line with South African Pharmacy Council (SAPC), Department of Health (DoH), Good Pharmacy Practice (GPP), and donor requirements.
The incumbent plays a critical role in strengthening medicine availability, supply chain efficiency, record management, and quality assurance systems, contributing to the delivery of accessible, client-centred, and high-quality HIV, STI, TB, and primary healthcare services for MSM and TG populations. The role supports programme implementation, reporting, and accountability across clinic and community-based service delivery platforms.
Key Performance Areas:
Medicine and Stock Management
- Manage the receipt, storage, issuing, and reconciliation of medicines and pharmaceutical consumables in accordance with SAPC, GPP, DoH, and organisational SOPs.
- Monitor stock levels, expiry dates, batch tracking, and FEFO principles to prevent stock-outs, wastage, and overstocking.
- Support ordering, forecasting, and redistribution processes in collaboration with the Pharmacist and programme teams.
- Ensure proper temperature monitoring, cold chain maintenance, and documentation for all medicines.
- Record Management and Documentation
- Maintain accurate and auditable pharmaceutical records, including stock cards, bin cards, dispensing registers, temperature logs, and delivery notes.
- Maintain prescription and issuing records against which medicines are dispensed or issued.
- Ensure timely filing, archiving, and retrieval of pharmacy documentation for audit and reporting purposes.
Quality Assurance and Compliance
- Conduct routine QA and QC checks on medicine storage, handling, documentation, and issuing practices.
- Support internal audits, supervisory visits, and inspections, and assist with implementation of corrective actions.
- Ensure adherence to GPP, SAPC regulations, organisational policies, and high work standards always.
- Operational Support and Collaboration
- Work closely with Pharmacist, professional nurses, and programme staff to ensure efficient medicine management at fixed and outreach service points.
- Communicate stock status, risks, and discrepancies clearly and timeously to relevant stakeholders.
Qualifications and Experience
- Post Basic Pharmacy Assistant (PBPA) Certificate
- Registered with the South African Pharmacy Council (SAPC) as a Post Basic Pharmacy Assistant Valid
- South African driver’s licence and willingness to travel.
- Experience
- 3–4 years’ experience as a Post Basic Pharmacy Assistant and experience in medicine stock control within public health, donor-funded, or NGO healthcare programmes
Competencies
- Excellent verbal and written communication skills in English. Command of other official local languages (multilingual) would be an added advantage.
- HR management and capacity development skills incl. solid understanding of SA labour laws.
- Sound problem solving and decision-making skills
- Effective time management, organising and coordination skills.
- Competent in Microsoft Office Suite and project management tools.
Travel Requirements
Local travel is inherent to the position.
